About Project Literacy:

Project Literacy Kelowna Society provides literacy support for immigrant families, children and seniors. Over 120 volunteers contribute to tutoring adults in English and Math. We also provide early year’s literacy support for children and digital literacy support for seniors. Over the past 32 years we have helped more than 6500 people improve their literacy skills and the quality of their life. We operate primarily out of our Learning Centre, which is located at 1635 Bertram Street, Kelowna. We also offer support literacy programs in West Kelowna and Lake Country.

Job Summary:

The Office Administrator is responsible for the smooth operation of the Learning Centre including; day-to-day bookkeeping, welcoming learners and tutors, supporting our programs, contacting suppliers, supporting the executive director and education coordinators and completing various reception duties.

Responsibilities/Daily Tasks:

  • Work closely with our accountant to maintain QuickBooks bookkeeping system; maintain paper files; prepare and mail out payable cheques; prepare bank deposits; process Payroll
  • Assist in the creation, design and implementation of various promotion ideas
  • Assist in the organization and preparation of program promotional material
  • Register participants in our programs
  • Assist with the setup of meetings and workshops
  • Book workshop and meeting space as needed
  • Request quotes from suppliers and venues
  • Assist education personnel in the preparation of tutor-learner resources
  • Maintain up-to-date digital files
  • Respond to emails and phone calls
  • Provide updates to our website and Facebook page
  • Perform general clerical and computer duties
  • Some local travel maybe required

Qualifications:

  • Two or more years of office and administrative experience
  • Experience with InDesign, WordPress or other creative software systems
  • Experience with meeting and/or event planning
  • Strong English communication skills, both written and oral
  • Ability to communicate effectively with people from different cultures and backgrounds
  • Excellent communication and problem solving skills
  • Strong organizational skills
  • Highly motivated with the ability to meet multiple deadlines in a fast-paced environment
  • Strong computer skills, (all MS Office products a must)
  • Ability to work independently and as part of a team
  • Goal orientated, strong ownership of work performed
  • Computer software and database management skills

Educational Requirements:

  • Completion of four-year post secondary degree
  • Education and/or relevant experience in administration and bookkeeping
  • QuickBooks certification
  • Second language an asset
  • Education or training in program development or event planning
